Questions, answered straight.
Buying and getting in
What exactly do I get?
An online calculator that opens in your browser on any phone, tablet or computer. You type in your numbers, it works out the answer and tells you what to do about it. You can save a clean report as a PDF or back up your figures.
What is the AI Starter Kit?
A guide and a library of ready-to-copy prompts that set AI up to know your business: client messages, rosters, socials, price rise letters and more. It opens in your browser through the same emailed access link as the tools, and sits on your My tools page alongside them. See what is inside.
Is it really a one-off payment?
Yes. You pay once and it's yours to use for as long as the site runs. No subscription, no renewal, no upsell to get the answer.
What is the difference between the Whole Toolkit and the Lifetime Pass?
The Whole Toolkit is every calculator on the site the day you buy it. The Lifetime Pass is every calculator and the AI Starter Kit, plus every new tool we add after you buy, for as long as the site runs. New tools turn up on your My tools page on their own. Services like the audit, Build Days and monthly reports aren't included.
How do I get it after I pay?
An access link is emailed to the address you paid with, usually inside a minute. Click it and your tools open on that device, which then stays signed in for six months.
I've lost my link, or I want to use another device.
Go to My tools, type in the email you paid with, and a fresh link arrives in seconds. You can do that as often as you like.
Can my manager or business partner use it too?
Yes, if they work in the same business. Each purchase is a licence for one business: you and your own team can use it for that business. Please don't forward your access link to anyone outside it. A different business needs its own purchase. See the terms.
Do you offer refunds?
No, all sales are final. Your access arrives as soon as your payment clears, and each tool's page shows a worked sample, so you can see what you get before you buy. If a tool doesn't work the way its page says, or you've paid and can't get in, email me and I'll fix it or sort out your access. See the terms.
Is the price GST inclusive?
There's no GST in it. The Numbers Room isn't GST registered yet, so no GST is charged and there's nothing to claim back. The price in New Zealand dollars is the whole price.
Using the tools
I'm not a numbers person. Will I cope?
That's who these are built for. Every tool opens with sample numbers so you can see how it works, every box says what to put in it, and good guesses are fine for a first run. If you can read a till report you can do this.
How long does it take?
Ten to thirty minutes, depending on the tool. The quickest way is to have your booking system's sales report and a recent bank statement open in another tab.
Which booking system do I need?
Any, or none. Most tools take a handful of figures you type in, so they work with Kitomba, Timely, Fresha, Shortcuts, a paper diary or the back of an envelope.
Two tools save you the typing. The Retail Stock Health Check reads the stock and sales reports from your booking system, and the Salon P&L Checker reads the profit and loss from Xero, MYOB or your accountant. Both take a CSV or a PDF, and the file is read on your own device, never uploaded.
Are the benchmarks official industry standards?
No, and be wary of anyone who says theirs are. The targets in each tool are sensible starting points for a New Zealand salon. You can change every one of them, because a three chair salon in Gore and a flagship in Ponsonby shouldn't be held to the same number.
Can I run it more than once?
Please do. Run it when rent goes up, when minimum wage changes in April, when you hire, or before you set next year's prices. Your last numbers are remembered on your device.
Will it work on my phone?
Yes. The tools with long lists, like the service menu, are more comfortable on a tablet or computer, but everything works on a phone.
New Zealand rates and accuracy
What makes these New Zealand tools?
The maths. GST at 15%, adult minimum wage of $23.95, employer KiwiSaver at 3.5%, four weeks' annual leave, public holidays, sick leave, ACC levies and this year's income tax brackets are all built in. Tools made for Australia or the US get every one of those wrong for you.
The full list is on the NZ rates page.
What happens when a rate changes?
We update it in one place and every buyer's tools pick it up automatically. The date the rates were last checked is shown at the bottom of every tool.
Is this financial or tax advice?
No. The tools give you general information to make your own decisions. Tax estimates are exactly that: estimates. For anything with real money or legal weight attached, take your results to your accountant. They'll be glad you did the groundwork.
I'm not GST registered. Does it still work?
Yes. Every tool has a GST box. Leave it unticked and nothing is stripped from your takings. If your turnover is getting near $60,000 a year, the tool will tell you, and you can tick the box to see what registering does to your numbers.
Privacy
Who can see the numbers I type in?
Only you. Your figures are stored in your own browser and are never sent to us. That also means if you clear your browser data they're gone, so use the "Back up numbers" button if you want to keep them.
Do you store my card details?
No. Payment is handled by Stripe. We receive your name, email address and what you bought, so we can send your access link.
Monthly reports
Do I have to install anything or give you a login?
No. You export reports from the systems you already use and send them over. Nothing is installed and nothing connects to your systems.
Is there a contract?
No minimum term. It runs month to month and you can stop with 30 days' notice.
What's the set-up fee for?
Building your baseline: mapping your reports, loading the last twelve months, and agreeing the targets your business will be measured against. It's done once.
Does this replace my accountant or bookkeeper?
No. They keep the books and handle tax. This reads your numbers as an operator would and tells you what to do in the salon this month. The two work well together.
What happens to the information I send?
It's used to prepare your reports and for nothing else. We never share a client's numbers or name them.
